This policy explains what GreenMind Media Inc. collects when you use OnlyLore, why, and what we do with it. The short version: we collect what is needed to run the service, and we do not sell or share it.

1. What we collect

Account information. When you sign in with your GreenMind account we receive your email address, your display name, and your account's identifier. We do not receive or store your password. The account itself is covered by the GreenMind Privacy Policy.

What you write. The worldbuilding content you create (characters, events, eras, factions, places, articles and the relationships between them), along with which universe each belongs to.

Collaboration data. Which universes you own or belong to, your role in each, and the email addresses you send invitations to.

Access tokens. Where you create a token for an AI assistant, we store a one-way hash of it, a short non-secret prefix, and when it was last used. We cannot recover the token itself.

Operational logs. Ordinary server logs, which may include IP addresses, request times and error details, kept for security and debugging.

We do not use advertising trackers, and we do not build advertising profiles.

2. Why we hold it

To operate the service: to authenticate you, to store and show your content, to enforce who may see which universe, to keep the service secure, and to diagnose faults. And to see how the website is used, by counting visits without cookies in a way that cannot be linked to you, which is our legitimate interest in a website that works for the people using it (clause 6). We have no other purpose for it.

3. What we do not do

We do not sell your personal information or your content. We do not share or rent it to third parties for their own purposes. We do not use your worldbuilding content to train machine-learning models, our own or anyone else's.

4. Who can see your content

A universe is visible to its owner and to the people that owner has invited to it, and to nobody else using the service.

GreenMind staff can technically access stored data, because it is our infrastructure. We access it only where necessary to operate the service: investigating a fault, responding to a support request, or acting on a report under our Terms & Conditions.

5. Service providers

We use third parties to run the service, and they process data on our behalf and under our instructions only. Today that means our hosting and database infrastructure, and Google Firebase, which runs sign-in to your GreenMind account. Visits are counted with Umami, software we run on our own servers, so no analytics company receives them. If we add others we will update this policy.

We may disclose information where required by law, or where necessary to protect the rights, property or safety of GreenMind, our users, or the public.

6. This website

OnlyLore uses cookies and browser storage only to keep you signed in and to remember the universe you last opened; the GreenMind Privacy Policy lists each one. It loads nothing from other companies in your browser.

Like our other websites, OnlyLore tells the country you are in from your IP address when you open a page, looking it up on our own servers in a copy of DB-IP's country database (IP Geolocation by DB-IP), and keeps it for nothing else.

OnlyLore counts every visit, without cookies and without asking first, through a small script it serves from its own address and passes on to our own counting server. It counts the pages you view, the site that sent you, any campaign tags in the page's address (its utm_ parameters), your browser, operating system, device type, screen size and language, and the country and city your IP address places you in. It sets no cookie and stores nothing in your browser, keeps no IP address, tells one visitor from another only by a one-way code made with a secret that is replaced regularly, never sees what you write, and cannot link a visit to your account. Each visit is deleted after 24 months. The GreenMind cookie notice explains how in full.

7. Where data is held

Data is stored on servers operated for GreenMind Media Inc., and may be processed in Canada, the United States, or wherever our infrastructure providers operate. Where the law of the place you live restricts sending personal data abroad, we rely on the safeguards it recognises, as the GreenMind Privacy Policy describes.

8. Retention and deletion

We keep your account and content for as long as your account exists. An entry you delete disappears from your universe at once, and is erased for good with the universe or your account. To delete a whole universe, write to us. Delete your account and we remove it, with the universes only you use (one that other people use has to be handed over first). The account deletion page explains how to ask.

Database backups are overwritten within 7 days of a deletion, and server logs within 30.

9. Your rights

You can correct and delete the entries you write through the service, and download character sheets, events, timelines and family trees. For anything else (a copy of your data, a universe or your account deleted), write to us. Depending on where you live you may have additional rights over your personal information (to access it, to correct it, to have it deleted, or to object to its processing), and we will do what the law requires. The GreenMind Privacy Policy sets out how we handle a request, and how to complain to a data protection authority if you are not satisfied.

10. Security

We use industry-standard measures to protect stored data, including hashing every access token so it cannot be recovered from our database. No service can promise perfect security, and we cannot guarantee it. Tell us promptly if you believe your account has been compromised.

11. Children

The service is not directed at children under 13, and we do not knowingly collect their personal information. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. The effective date above changes when we do. Where a change materially reduces your privacy protections we will make reasonable efforts to tell you. Continuing to use the service after a change takes effect means you accept the revised policy.
